Article IV – Officers

I have modified this section to what I think makes it clearer. Note that my changes are in RED.

ARTICLE IV – OFFICERS

SECTION 1 – Election of officers:

(A)Election of officers will be held at the monthly Membership meeting on the third Saturday in the month of January each year or the annual Christmas Party if no January meeting is scheduled.

(B) The Club shall have a President, Vice-President, Sectary, Treasure and three board members who shall be elected by a majority of the votes cast at the January meeting of the Club. In order to qualify for these posts, the nominee must have been a member in good standing for a period of one (1) year immediately preceding the monthly meeting.

(C) The President shall preside at all club meetings and Committees. He/she shall perform such duties and exercise such other powers as are usually incident to such office.

(D) In the absence of by-law or rule herein, Robert’s Rules of Order will prevail.

SECTION 2 – President:

(A) The President shell be responsible in scheduling all meetings, outings and their locations and times. He also has the sole responsibility of canceling any function in a timely order.

(B) The President sell handle any disputes among club members in a timely manner. He/she should also have regular discussions (e-mail just fine) with the Vice-President on monthly bases.

(E) No individual shall serve as President of this Club for more than two (2) consecutive years.

(F) The president shell be responsible to insure the by-laws are followed.

SECTION 3 - Vice-President

(A) A Vice-president shall be elected at the same time and in the same manner as the President is elected.

(B)  The duties of the Vice-president will be to perform the duties of the President in his/her absence or inability to serve as the President.

(C)  Other duties will be to communicate with the President (in any media form) on a regular base and as a minimum of once a month.

SECTION 4 – Secretary

(A) The Secretary shall keep a complete and accurate record of all proceedings of the Club and the Board of Directors. He/she shall have possession of these records, attend to the proper publication of all reports, conduct official correspondence, attest documents, perform such other duties as are usual to such office, or as may be required by this Club, the President, or by the Board of Directors.

(B)  The Secretary may opt to share some of his/her duties with a non-official officer post. This non-official post will be call the “Communications Officer”

(C)  If there is a separate Communications Officer, Newsletter Editor and Webmaster, then the Secretary has the authority to share his or her work load with any of the three positions.

SECTION 5 – Treasurer

(A) Treasure shall be elected at the same time and in the same manner as the President is elected.

(B)   The Treasury Position shell be a solid trusting member in good standards and will occupy this post for a minimum of two years, but not to exceed more than a 5 year timeline. The reason for this banking account setting up and transfer of names.

(C)  The Treasurer shall have custody of all moneys of the Club and shall keep a regular book of accounts.

(D)  A treasury report will be given at each club meeting. The report will not be reported in any other form such as newsletter, email or website. However, the treasury report will be discussed among the Board of Directors on regular bases.

(E)   He/she shall disburse the funds of the Club in payment of just demands against the Club – after approval by the general membership – and shall render the money in a timely manner.

(G) He/she shall perform all the duties incident to his/her office or which are properly required of him/her by the Board of Directors or general membership.

(H) In the event that the treasury account is in question and or the treasurer, the Board of Directors shall handle the manner in a swift and timely manner.

SECTION 6 – Communications Officer

(A) The Communications Officer is a non-elected position and is a sub responsibility of the Secretary Post if he/she desires it to be.

(B) The Communications Officer will have the responsibility of a liaison position or hub between parties be it club members, board of directors or the outside world.

(C) It will be the Communications Officer discretion on what form of communication he/she wants to use. This could be by phone, mail, email, newsletter, website or social media like Facebook, tweeter or Desktop/Browser Toolbar.

(D) It will be at the discretion of anyone (officers, board, any club member) if they want to use the Communication Officer Post to act as a go between (liaison) between parties.

(E)   The Communications Officer has the authority to say NO if the communications does not concern the general membership or the board of directors.

SECTION 7 – Newsletter Editor

(A) The Newsletter Editor is a non-elected position and is a sub responsibility of the Secretary Post if he/she desires to delegate it.

(B)  The Newsletter Editor will produce a Newsletter to the general club members. The Newsletter will be sent to everyone on the clubs mailing list at least once per month.

(C)  The Editor may use any form of communications he/she desires that will make their job easier. The newsletter can be in the form of a mailing through US post office, email, website blog, Facebook, tweeter or Desktop/Browser Toolbar. It should be noted, if anyone doesn’t like it, the job is always open for them to take over.

    What I have changed or added in RED makes things clearer to me. Note that the Presidency now has its own section. I have also added some extra responsibility to this post.

    Treasurer needs to be considered as a stable posission and a lot more thought givin to the wording within. Statement of the Pres. signing checks needs addressing.Everything else good
